On behalf of an investment company in Amsterdam we are looking for an interim PA who wants to replace their PA / Office Manager during her vacation from 10 through 21 June, 2024.
The company is a mid-market private equity firm, investing in high growth and entrepreneurial businesses. The funds are invested across a variety of sectors from offices in London, Manchester, Amsterdam, Sweden and Germany.
The ideal candidate will have excellent organisation skills, an ability to learn quickly, and to prioritise key tasks.
The office in Amsterdam consists of five investment professionals and the one PA / Office Manager. In order for her to go on vacation knowing that she can leave her colleagues in good hands, we are looking for YOU, a seasoned Interim PA / Office Manager for the above mentioned days in June.
Your key responsibilities re the role of Interim PA / Office Manager (10/6-21/6) are:
- All aspects of diary management / organisation of meetings and conference calls (the role is 80% diary management)
- Organising business travel
- Updating the CRM database with deal team members contacts, marketing activities and deal data
- Arranging board & other Inflexion meetings for portfolio companies ensuring documentation is issued on time
- Assisting portfolio companies with room bookings and ad hoc admin requests relating to Inflexion
- Production of PowerPoint, Excel, and Word documents
- Preparing expense claims for investment team members
- Maintaining the integrity of the data within the CRM database
- Liaising with outsourced IT provider to resolve IT problems/queries for team members
- Dealing with telephone, email and general enquiries ensuring that appropriate messages are relayed, or action is taken
- Photocopying/scanning/ document binding and filing (including archiving)
- Ad hoc administrative duties that may be requested by team as and when required (i.e. company research, confidentiality agreement tracking).

Key knowledge, skills, experience required:
- Previous PA experience within a fast-paced team environment (Private Equity or Financial Services is desirable but not essential)
- Excellent organisational skills
- Excellent communication skills (written and oral)
- Good working knowledge of Outlook, Word, PowerPoint & Excel
- Previous experience of using a CRM database (or equivalent) to a reasonable level.
