Job Description
We are looking for a highly organized, proactive, and resourceful Executive Assistant & Office Manager to join our team. This hybrid role combines executive support for four C-level executives with overall office management responsibilities, playing a key part in ensuring smooth daily operations in a fast-paced and collaborative environment.
You will work closely with the Chief of Staff and the People Team to drive efficiency across the organization and contribute to our broader mission. This position is ideal for someone who thrives in a dynamic setting, can manage multiple priorities simultaneously, and brings a combination of strong administrative, coordination, and project management skills.
This role is critical in maintaining structured executive support and seamless office operations while supporting our mission to advance electric aircraft technology.

Key Responsibilities
Executive Team Support (60%)
- Provide high-level administrative and coordination support to our three executive founders, including calendar management, meeting scheduling, and organizing complex travel arrangements.
- Act as a key gatekeeper to ensure executive time is well-prioritized and aligned with strategic goals.
- Support the preparation of business presentations and slide decks for internal and external meetings; take meeting minutes when required.
- Organize and coordinate executive team meetings and offsites, including agenda setting, preparation of materials, documentation of outcomes, and follow-up on action items.
- Handle confidential and sensitive information with discretion and a high degree of professionalism.
- Serve as the primary liaison between executives and key stakeholders, clients, and partners to facilitate seamless communication.
Office Management (40%)
- Oversee day-to-day office operations to maintain an efficient, welcoming, and well-organized work environment.
- Manage office supplies, equipment inventory, and relationships with vendors and service providers.
- Coordinate with the People Operations team on the onboarding process for new hires, specifically around office logistics and readiness.
- Ensure compliance with office safety protocols, security measures, and procedures to support a hybrid working environment.
- Organize in-person and virtual meetings, team gatherings, and offsite events, including logistics, catering, and materials preparation.
